How to compare quotes from service businesses

Look beyond the headline price. Get the scope, inclusions and small details straight before you say yes.

Several written quotes can help you understand what a service will involve. To compare them fairly, look at the scope, inclusions and practical arrangements alongside the headline price. These questions can help you make a more informed choice.

01

Ask for quotes on the same scope

Quotes are only comparable when every provider is pricing the same job. Write down exactly what you need before you contact anyone: the task, materials or brands you prefer, access constraints, and your timeframe. Send the same description to each business. If one quote comes back much cheaper, check whether it covers the same scope or has quietly excluded items like removal of old materials, travel, or after-hours work. Keep the scope and each business’s response together so you can refer back to the same information.

02

Understand quote versus estimate

Ask whether the document is a quote for an agreed scope or an estimate that may change. Confirm its assumptions and exclusions. For jobs where the full scope cannot be known upfront, ask how additional work would be priced and whether approval will be sought before proceeding. Ask for the total payable price, including any applicable taxes, travel, materials and other fees. Put the agreed process for changes in writing.

03

Compare more than the price

Price is one part of the decision. Compare the materials specified, start and completion arrangements, who will perform the work, and any written workmanship warranty or support included. Ask how delays and problems would be handled. A higher price is not proof of better work, just as a low price is not proof of poor quality. Focus on the information each business can provide, and ask for clarification where an offer is vague.

04

Questions to ask before accepting

Before you say yes, ask: how long is this quote valid, what deposit is required and when is the balance due, what happens if the job takes longer than expected, and are you licensed and insured for this work? Be cautious about large upfront deposits. Keep copies of the quote, any variations and receipts. If a business pressures you to accept on the spot, treat that as a reason to slow down, not speed up.
